Minimum Training & Experience

An Associate’s Degree or specialized courses/training equivalent to satisfactory completion of two years of college in business or related field, plus two years administrative experience and experience with confidential information or closely related experience. Proficiency in Microsoft Office Suite is required, including Word, Excel, PowerPoint and Outlook. The equivalent combination of acceptable education, training and experience may be considered.

A valid Driver's License is required.

Desirable Knowledge, Skills, & Abilities

•Considerable knowledge of front desk administration and customer service support.

•Knowledge of principles and practices of human resources administration.

•Knowledge of city, state, and federal laws applicable to human resources administration.

•Knowledge of data processing and related software.

•Knowledge of and skill in the maintenance of efficient filing systems.

•Considerable skill in applying responsible attention to detail in preparing reports, spreadsheets and correspondence; excellent editing and proofreading ability.

•Considerable skill in creating spreadsheet formulas, mail merge, pivot tables, etc.

•Skill in processing payroll, I-9s, eVerify, W-4s, and tracking and maintaining a fiscal budget.

•Considerable ability to exercise independent judgment and initiative in performing routine and non-routine tasks, including providing guidance to others and making frequent decisions in accordance with applicable policies and delegated responsibilities.

•Ability to maintain positive customer-focused relationships with co-workers, supervisors, agencies, the general public, and all other internal and external customers. Personally demonstrates appropriate customer service skills.

•Ability to analyze data and communicate effectively in oral and written form.

•Ability to plan, organize and prioritize daily assignments and work activities; ability to meet strict timelines and perform multiple tasks.

Specific Duties

• Prepares, types, processes, copies, files, and/or distributes various documents, which include responses to reports, payroll, forms, memos, correspondence, etc.; maintains current news and information on department web sites.

• Prepares department payroll using Excel and the City’s financial system.

• Assists with the preparation, calculations and execution of the HR budget.

• Provides clerical, administrative and setup support for the citywide HR training classes.

• Answers telephone for the department; takes citizen complaints; provides information to employees and citizens as requested and/or forwards calls to appropriate staff person. Records messages as needed.

• Assists in maintaining a comprehensive employment delivery system by logging applications, developing spreadsheets and reports, filing, etc.

• Demonstrates exemplary customer service skills as an initial contact for callers to the City and visitors to the Human Resources Department.

• Serves as HR team lead on City tours and job shadowing for students.

• Conducts federal and state required poster inspections in all City offices.

• Serves as department office supply/Customer Service and Supervisory Development support team member.

• Provides special event assistance to include the City’s benefits programs, the health fair, wellness programs, recruiting events, insurance enrollment, retirement and service awards banquet and customer service training.

• Performs all other duties as may be assigned to meet organizational needs.
