Specific Duties
• Assists the General Services Department with advanced support in the implementation of the city’s public improvement and construction projects and other departmental disciplines by working with City Management, department heads, other City officials, and employees in the analysis and development of infrastructure and facility improvements and construction.
• Assists in the coordination of internal resources to ensure the successful implementation of projects.
• Develops detailed project plans to monitor and track progress.
• Creates and maintains comprehensive project documentation.
• Supports General Services Department through data management, scheduling and coordination of meetings.
• Prepares/updates project status reports, municipal billing, processes purchases orders and invoices, updates tracking reports and maintains project files.
• Maintains confidentiality of privileged and sensitive information related to negotiations and personnel actions.
• Participates in review of special contracts and projects to move the City forward.
• Performs other clerical and administrative duties such as answering phones, payroll functions, providing technical support, preparing correspondence, and other duties as needed.
• Assists staff with implementation of goals and objectives for special programs, projects and systems; participates in department and division’s short and long term planning; establishes schedules and methods for program operations.
• Handle meeting logistics such as coordinating calendars, reserving conference rooms, sending meeting notices, and communicating with attendees.
• Works closely with city staff, city consultants, York County, contractors, local council of governments and all other agencies necessary for coordinating of projects.
• Publish and post information and postings to department web pages.
• Assists in the preparation of the departmental budget.
• Reviews various records of the department including but not limited to financials, grants, City strategic plan and prepares department-level reports and comparative analyses to management team.
• Assists staff and consultants in preparation of documentation required by oversight agencies.
• Assists in the coordination of city infrastructure improvement projects with all other civil projects planned or underway.
• Assists with special events processing and community functions as needed.
• Refers to policy and procedure manuals, computer manuals, City codes and ordinances, design standards, etc.
• Assists with special projects as needed.
• Performs all other duties as may be assigned to meet organizational needs.
